Frequently Asked Questions
Kosmos Safety is a health and safety audit and compliance platform for the hospitality industry. It lets you build and run audits, manage the actions that come out of them, store your policies and records, and track your compliance across one site or a whole group, all from a single dashboard. Its standout feature is live scoring: when a remediation task is completed, the audit score updates automatically, so your compliance picture is always current.
Kosmos is built for hotels, restaurants and venues, and for the people responsible for keeping them safe and compliant. That includes single-site operators, multi-site chains and groups, and the health and safety consultants who audit on their behalf. There's a plan for a single property (K1), a plan for chains and groups (K2), and a reseller programme for consultants (the Kosmonaut programme).
Three things set Kosmos apart. First, audit scores update themselves the moment a task is closed, rather than waiting for a manual re-score. Second, it's focused purely on safety compliance and built to be easy to use, instead of trying to be everything for every industry. Third, it handles European operations properly, with audits viewable in multiple languages from one dashboard. It does fewer things than some larger platforms, and does them better.
ORBIT is the AI assistant built into Kosmos. It migrates your existing audit templates for you, reading a spreadsheet or an export from your old platform and rebuilding it inside Kosmos in minutes, and it can draft guidance notes for each question so your team knows what to look for. ORBIT is designed to assist rather than decide: it handles the repetitive setup work, while you keep control of every compliance judgement that matters.
Yes. ORBIT can import templates from a spreadsheet or from an export out of another audit package, and rebuild them inside Kosmos, including sections, questions and scoring. Most users are up and running and auditing within minutes of importing, without rebuilding their checklists by hand.
When you complete an audit in Kosmos, it calculates a score straight away. When you then create tasks to fix the issues found, and those tasks are completed, the audit score recalculates automatically to reflect the work done. You never have to re-score an audit manually, and your dashboard is never out of date. For anyone managing several sites, it means the numbers you're looking at are always real.
Every issue found in an audit can become a task. You assign it to a colleague, or to an outside supplier or contractor who completes it through a secure link without needing a Kosmos account. You set deadlines, track what's outstanding, and see overdue actions flagged. When a task is completed, the linked audit score updates on its own, closing the loop between finding a problem and fixing it.
Kosmos is built for European operations and supports audits in multiple European languages from a single dashboard. You can run audits across borders, convert templates from one language to another, and send a report in English or in a colleague's own language without re-keying anything or setting up separate accounts per country.
Kosmos has two straightforward plans. K1, for a single property, is £300 per year. K2, for chains and groups, is £600 per year for the base (covering the parent account and your first location), plus £300 per year for each additional location. All prices exclude VAT, and you see the full net, VAT and total breakdown before you confirm. There are no per-audit charges and no feature tiers: every plan includes the whole product.
Yes. Every plan comes with a 14-day free trial with full access to the entire product and no limitations. You can build audits, run them, manage tasks and try every feature.
You can cancel during the free trial and pay nothing. After that, you can cancel whenever you like and you'll keep access until the end of the period you've already paid for. There's no long-term lock-in.
Yes, through the Kosmonaut programme. It lets you hold one Kosmos account and provide access to every client you look after, giving them a better tool while earning yourself a recurring margin on each one. Your clients know they're getting Kosmos through you, and you become their first point of contact for support. You can read more on the Reseller Programme page.
Yes. Kosmos runs on secure Google Cloud and Firebase infrastructure, has been security-tested and hardened, and is fully GDPR compliant. Your data is held on EU-based servers with no transfer outside the EU, and Kosmos uses no tracking cookies. Privacy is built into the platform from the ground up rather than added as an afterthought.
